Administrative Assistant

POSITION TITLE:     Administrative Assistant

REPORTS TO:          Vice President/Director of Operations

SUPERVISES:           N/A

CLASSIFICATION:   Full-time / Hourly / Non-Exempt       

POSITION PURPOSE:   To provide administrative support for staff members and provide the organization’s first impression of professionalism, courtesy and respect.

RESPONSIBILITIES:

  • Provide a live answer telephone system
  • Ensure that all clients and community members entering the building or calling the office are greeted with the upmost importance
  • Assist and support all staff members with administrative functions
  • Take all calls and transfer to appropriate person
  • Track where all staff members are working and when they are returning to the office
  • Assist with mailings, copies, filing and office organization
  • Maintain a friendly and welcoming environment for all office visitors and clients
  • Maintain working knowledge and offer technical assistance with a wide variety of community resources
  • Maintain working knowledge and offer technical assistance with all office machinery
  • Be aware of and understand each staff person’s position in order to channel calls to the appropriate person
  • Manage office supplies, perishables and snacks and replenish when needed
  • Receive, track and document all agency income
  • Distribute mail and office supplies to staff
  • Maintain an organized filing system
  • Coordinate and assemble licensing, orientation, and other agency mailing packets
  • Record all income and donations
  • Manage 4C memberships
  • Act as back-up for client child care referrals

SKILLS, ABILITIES AND OTHER REQUIREMENTS:

  • Excellent computer and writing skills
  • Strong organizational ability
  • Proven customer service skills

GENERAL EXPECTATIONS:

  • Maintain confidentiality regarding 4C programs, procedures, policy, staff, and clients
  • Return emails and messages within one business day
  • Be cognizant of the impact the position has on the overall mission of the agency
  • Attend required team meetings with a positive, solution-oriented attitude
  • Offer support to colleagues
  • Manage time efficiently
  • Adopt and abide by the agency Mission, Vision, Core Values, and Statement of Commitment

WORKING CONDITIONS/ENVIRONMENT:

  • Works in a clean, well-lit, temperature controlled office

MINIMUM QUALIFICATIONS:

  • Associates Degree in Office Administration, Education or related field
  • Knowledge of a variety of early childhood programs
  • 2 years experience in an office administration setting

4C Internships

4C offers meaningful, hands-on intern experiences to a number of students each year. 4C staff (who in some cases were interns here themselves) work with each intern to develop an internship that meets their needs and interests. 4C interns gain practical "real world" experience as well as knowledge and skills related to early childhood education, child care, family and consumer education.
